About the Position

Bay Point Contracting is looking for a highly organized, personable, creative, and proactive Community & Client Engagement Coordinator to help us build relationships, create opportunities, coordinate events and outreach, and strengthen the experience people have with our company.

This is not a traditional salesperson position, and you do not need to come from the construction industry.

We are looking for someone who is exceptionally good with people and equally good at keeping details organized.

The right person may come from event planning, wedding coordination, hospitality, customer experience, community engagement, marketing coordination, professional services, or another environment where success depends on communicating well, developing relationships, anticipating needs, and making sure dozens of moving pieces come together properly.

If you have ever coordinated an event, managed demanding clients, developed relationships with vendors, solved problems before they became problems, or kept a complicated project moving while making the experience look effortless to everyone else, many of those same skills can translate exceptionally well into this position.

You will work closely with company leadership to help Bay Point Contracting expand its professional network, strengthen client and community relationships, coordinate events and marketing initiatives, and create new opportunities for the business.

This position is intended to begin as a flexible part-time opportunity, with the potential for additional hours and greater responsibility as the company continues to grow.

Duties

Relationship Development & Community Outreach

  • Develop and maintain relationships with local businesses, professionals, community organizations, vendors, industry partners, referral sources, and prospective clients.
  • Identify opportunities for Bay Point Contracting to become more visible and connected throughout the communities we serve.
  • Conduct professional outreach by phone, email, social media, and in person.
  • Help initiate conversations with potential referral partners and strategic relationships.
  • Maintain regular communication and follow-up with professional contacts.
  • Coordinate introductions, meetings, appointments, and relationship-building opportunities for company leadership.
  • Maintain organized records of contacts, conversations, follow-up activities, and potential opportunities.


Events & Networking

  • Research relevant networking opportunities, community events, trade shows, home shows, professional organizations, and local activities.
  • Coordinate registrations, schedules, materials, displays, logistics, and follow-up for company events.
  • Help organize client appreciation activities, networking events, open houses, educational events, and other company initiatives.
  • Attend select events and networking opportunities as a representative of Bay Point Contracting.
  • Develop relationships with event organizers, vendors, venues, community partners, and participating businesses.


Client Experience

  • Help ensure prospective and existing clients receive timely, professional, and personable communication.
  • Assist with incoming inquiries and coordinate appropriate follow-up.
  • Support leadership throughout the early stages of client relationships.
  • Help maintain accurate client and prospect information within the company's CRM and internal systems.
  • Identify opportunities to improve communication and the overall client experience.


Marketing & Brand Support

  • Help coordinate social media, email, website, advertising, and community-marketing initiatives.
  • Gather photos, videos, testimonials, project updates, and stories that can be used in company marketing.
  • Assist in developing brochures, presentation materials, event materials, project books, and sales collateral.
  • Coordinate with photographers, videographers, designers, marketing professionals, website providers, and other outside vendors.
  • Look for opportunities to creatively showcase Bay Point Contracting's projects, team, values, and client experience.

Coordination & Follow-Through

  • Track conversations, commitments, deadlines, appointments, approvals, and follow-up activities.
  • Maintain organized contact lists, calendars, CRM information, and business development records.
  • Coordinate multiple projects and priorities without allowing important details to fall through the cracks.
  • Help turn ideas discussed with leadership into organized next steps and completed actions.
  • Communicate proactively when something requires attention rather than waiting for a problem to develop.

Requirements

  • Two to five years of experience in event coordination, wedding planning, hospitality, customer experience, community engagement, marketing coordination, business development support, administration, project coordination, or another highly client-facing environment.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and genuine comfort speaking with new people.
  • Ability to develop professional relationships naturally rather than relying on aggressive sales techniques.
  • Exceptional organizational skills and attention to detail.
  • Strong follow-through and the ability to manage multiple conversations, deadlines, commitments, and priorities simultaneously.
  • Comfortable communicating by phone, email, text, video, and in person.
  • Strong computer and technology skills.
  • Proficiency with Microsoft Office, Google Workspace, and common business technology.
  • Comfortable learning CRM systems, marketing platforms, social media tools, and new software.
  • Ability to work independently and take ownership of assigned responsibilities.
  • Creativity and sound judgment when evaluating ideas, presentations, events, client experiences, and marketing initiatives.
  • Ability to recognize potential problems and proactively recommend solutions.
  • Professional appearance and communication style when representing the company.
  • Willingness to attend occasional local events, networking opportunities, project sites, or company activities as needed.


Construction or renovation experience is an asset, but it is not required.

Experience in event planning, wedding coordination, hospitality, real estate, interior design, luxury services, professional networking, or another high-touch client service environment is especially relevant.

This position is intended to begin with a flexible part-time schedule, with the potential for additional hours and expanded responsibilities as Bay Point Contracting continues to grow.
